Assign product and document version unambiguously

A technical answer must match the specific product and its version. Describe product series, variants, document versions and the details a user has to bring. If the assignment is unclear, a chatbot should ask follow-up questions or offer the agreed next step, rather than silently using a similar manual.

Check with the specialist team which documents count as a valid source. Internal notes, old manuals and approved instructions must not be treated alike merely because of similar terms.

Separate information retrieval from specialist decisions

Determine whether the application finds documents, takes in a case in a structured way or proposes an action. Different review requirements follow from this. For safety-relevant work, the responsible specialist department must define the permissible scope and the approval route.

Name integrations specifically

A chat about technical documents is not yet an integration with ERP, a ticket system or a spare parts catalogue. If such systems are part of the project, have the purpose, the required rights and the type of connection recorded for each access. Read only, prepare a request and change a transaction are separate scopes.

Also ask about the operation of the adapted solution: who maintains assignments, checks new document versions and investigates a wrong answer? These tasks should be as visible in the offer as the chat interface.
