Automate Excel reporting or supplement it with BI?

If your team copies the same exports into a workbook before every meeting, look at this work step first. Together with IT, you can use the existing report to decide where automated data import is enough and when a BI solution makes sense.

When is it enough to improve the existing Excel report?

An existing workbook can remain a good starting point if the data is manageable, few people maintain the report and calculations can be documented traceably. It is often worthwhile to examine manual imports and inconsistent entries first.

Trace the route of a figure: Where does it arise? Who exports it? Into which sheet is it copied? Which formulas change it? In which file does management see the result? Mark every step that depends on a person, a file name or a manual selection.

The question of new software follows from this process. If only a recurring import is awkward, a regulated data import may be enough. If many areas keep their own copies with different definitions, the shared data model also has to be clarified.

Three options for further development

Developing Excel reports further according to their actual bottleneck
OptionWhen it may fitWhat to check
Continue using ExcelA limited group of users works with known analyses and few sources.Data import, formulas, protection against accidental changes and cover for absences.
Complement Excel with BIData is to be prepared jointly and reports are to be provided for several recipients.Data model, refresh, permissions, licences and responsibility for maintenance.
Custom reporting applicationProfessional processes, operation or data links fit existing tools only in part.Scope of development, reusable components, acceptance and later changes.

The options can be used one after another. A workbook can first disclose the professional rules and later serve as a reference for a new analysis. A step-by-step transition is particularly helpful if the reporting obligation continues during the changeover.

For the provider search, the reporting register distinguishes between these tasks. Do not compare a complete planning platform with a simple import improvement without naming the additional requirement.

Check the workbook before it becomes the data source

A workbook that is easy to read is not automatically an unambiguous data source. Merged cells, changing headings and colour markings can be understandable to people, but for repeatable processing they have to be translated into fixed rules.

Check whether each column has exactly one meaning and each row represents a clearly described unit. A sheet of postings, for example, should not contain subtotals that are later read in as a further posting. Separate raw data, mappings, calculations and output to the extent that changes remain traceable.

  • Column names and data types remain reliable across periods.
  • Date values and amounts are stored as the corresponding values.
  • A unique identifier makes it possible to detect duplicate records.
  • Empty fields, genuine zero values and unavailable information are distinguished.
  • Professional mappings are held in a maintained table rather than only in cell colours.
  • The authoritative file version and the person responsible are known.

Keep the original file for comparison. Changes to the data structure should not unnoticed alter the meaning of an existing report.

What repeatable data preparation can achieve

For recurring imports, a documented process of reading in, checking, mapping and merging is recommended. The next monthly file then runs through the same steps. The rules still have to be checked for changed columns, new cost centres or additional data.

A specific tool for this is Microsoft Power Query. Microsoft describes a data preparation whose transformation steps are applied when it is run again. The available connections and refresh options depend on the respective product in which Power Query is used.

Do not derive a blanket assumption about an existing interface from this. Check the specific source, the authentication and the later place of execution. A query that works on its creator’s computer is not yet a regulated shared operation.

For a changeover, also record who learns of errors. If a new file is not found, a responsible person should receive an understandable message. Otherwise an old report with an apparently current file name may be overlooked.

When an additional BI solution makes sense

A BI complement can fit if several recipients are to access the same defined KPIs, need different views or data comes together from several sources. The additional benefit must justify the effort for set-up and maintenance.

A technical transition from Excel to a report is possible: Microsoft documents, for example, how to create a Power BI report from an Excel file. The import alone, however, does not decide whether the data model fits your KPIs. This professional work remains part of the introduction.

Test with two different roles. A cost centre manager should see their area, while controlling may see several areas. Also check detail views and exported files here. Hiding a visible table row is not sufficient proof of an effective access concept.

Also compare the route for changes. Can the specialist department create a new view itself? Who adds a KPI? How long does a change to the source take? A clear dashboard is valuable if the underlying rules can also be maintained later.

What role AI can take on in Excel reports

In a reporting project, AI can help to describe a desired analysis in words or to prepare a new presentation. For the selection, it must be clear whether the product processes a file, explains an existing analysis or accesses a prepared data model.

A question such as “Which costs have risen?” requires a comparison period and an agreed KPI. If the workbook contains several value types, the right one must be selected. Otherwise a plausible answer can arise on the wrong basis.

Therefore specify a known result as the yardstick for acceptance. Test additional questions only once the underlying calculations have been clarified. An understandable interface makes operation easier, but does not confirm the professional correctness of every output.

The page Assessing AI reporting contains suitable questions to check. For a conversation with T-NEX, it is particularly helpful if you can use a specific workbook to show which new question causes additional manual effort today.

How to make the transition without two permanent reporting worlds

  1. Secure a reference status. Keep a closed period with source data, calculation and approved result.
  2. Document the rules. Explain formulas and manual additions in professional terms. A formula without a known meaning is not enough as a specification.
  3. Transfer the first analysis. Limit the changeover to one report and check individual values, totals and filters.
  4. Reproduce error cases. Use missing files, changed columns, duplicate rows and new cost centres as test cases.
  5. Limit the parallel phase. Compare a new reporting period and then determine the leading procedure.
  6. Hand over maintenance. Document access, refresh and changes so that a substitute can also work with them.

If Excel continues to be used as an input tool, this role needs clear limits. Define which values may be edited and how they reach the shared analysis. This keeps it recognisable which data comes from a source system and which was deliberately added.

How the report works even without its original author

Have a second person produce the next report using the documentation. They should be able to find the right source, run the refresh and recognise whether a check has failed. Questions show which steps still exist only in the knowledge of the previous author.

On this occasion, test a small professional change, such as a new cost centre. Record whether a mapping, a formula or the data model has to be changed for it. This gives a realistic statement of what maintenance remains within the company.

This cover test makes sense for each of the three options. It shows whether the work has actually been better organised or has merely moved to another tool.

Which efforts you should compare with one another

Compare the options over the same period. Improving a workbook involves analysing the formulas, setting up the data import and documentation. A BI complement may add licences, a data model, access management and operation. A custom solution needs a clearly delimited scope of development and maintenance.

Take your own team’s time into account. Professional rules have to be explained and checked even if the technical implementation is done externally. In the offer, ask for concrete results: Which source is connected, which report is accepted and which documentation is handed over?

The guide Comparing reporting costs helps with this comparison. If your main problem is the monthly repetition, the sample case on monthly reporting adds professional checks to the selection.

Frequently asked questions

Does Excel have to be abandoned for automated reporting?

No. Excel can remain an input, data source or output tool. What matters is whether the roles of the file, the calculations and the refresh route are regulated in a traceable way.

What should be clarified before a workbook is transferred?

The meaning of the data, the formulas used, manual additions, responsibilities and a known comparison result. This information forms the basis for a reliable transfer.

Is an Excel import already a finished integration?

An import initially shows that data can be imported. For operation, refresh, error handling, access, professional mappings and changes to the file also have to be clarified.

When does a custom reporting solution fit?

When the required analyses, data connections or operating flows can be implemented with existing tools only at great effort. The comparison should also show which parts can be covered with standard functions.
